Considerations

As of February 2025 the Campus departments that are actively using scanners connected to Perceptive Content are:

  1. Controller’s (first floor Warren Hall)
  2. Business Operations (basement of Sproul Hall | SAIT supported)
  3. HR (4th Street building)

Background

All scanner machines use a set of Perceptive Content components and features to scan and route to specific Perceptive workflow queues. One of those components is called Scanning Device and this is the one that holds and manages the scanner technical capabilities; another component is called Capture Profiles through which end users can scan and route to specific queues. These components reside locally within the files inscan.xml and indevice.xml 

    1. Note however, that in most of the instances, each new version of capture profiles is pushed from the server and once the specific computer 'receives' the file it then resides locally

Technical Details

  1.  Scanners are connected to dedicated machines only
  2. All scanner machines use Kofax VRS drivers
  3. Most of the scanners are Canon scanners while others are Fujitsu scanners
  4. The Perceptive Content Client has to be installed on the scanner machine for users to scan directly to PC
  5. For the scanning to work it is necessary that end users have read/write/modify privileges over the following folders:
    1. appdata\imagenow (Read/Write/Modify)
    2. Program Files (86)\imagenow\etc (Read/Write/Modify)
    3. ProgramData\imagenow\etc (Read/Write/Modify)

Note that Hyland does not recommend scanners. The Imagine team decided to test and review on its own in 2018 and the result is this file 2018-03-03 Imagine_Recommended_Scanners_.pdf

 

General Ticketing Process when Installing a New Scanner

  1. User informs the Imagine team in advance through a ServiceNow ticket
    1. Imagine team sends user info re licenses, costs, etc
    2. User purchases the scanner and the Kofax VRS driver.
    3. User submits a ticket to ITCS for the installation of new scanner
  2. ITCS installs the scanner and the Kofax VRS driver
    1. ITCS along with user test that the scanner works fine by using the Kofax VRS test console
    2. ITCS re-assigns tickets to the Imagine team so that they can proceed to create scan devices, capture profiles, etc.
