Change a DocuSign PowerForm's Sender

DocuSign automatically assigns the PowerForm Sender role to the person who creates the PowerForm. The PowerForm Sender has special privileges associated with the PowerForm. The PowerForm sender can edit the PowerForm and all completed envelopes for the PowerForm reside in their account. The PowerForm sender can also download the data from completed PowerForm envelopes, one at a time or in bulk.

There may be times when someone other than the original sender needs one or more of these special privileges, for example your team’s business analyst might need to review and report on all of the data associated with a PowerForm’s completed envelopes. In this case you need to change the Sender. 

Caution: If a PowerForm Sender's account is closed (e.g because they leave your Department) the PowerForm will no longer work.

Prevention: To avoid a situation where you have to change the Sender, consider creating the PowerForm under a SPA account. By doing this anyone who is a member of the SPA account and logs into DocuSign with the SPA account credentials will automatically be considered the PowerForm Sender. How to Change the Sender

To be a PowerForm sender, a user must have the appropriate permission settings defined in their Permission Profile:

Any user with the PowerForm Administrator, PowerForm Manager or the Department Account Administrator permission profile can change the sender to any other user in the account who has appropriate permission settings.

  1. PowerForms: This option sets the PowerForms access for a user. The three options are:
    1. None: The user cannot use PowerForms.
    2. Standard User: The user can send PowerForms.
    3. Administrator: The user can create, manage, and download PowerForms. With this option, there is a secondary permission Allow access to envelopes and form data from other PowerForm senders. If selected, the PowerForm Administrator is granted access to form data and envelopes from other PowerForm senders in the Department's account. (Therefore use this cautiously.)
  2. From the Manage page, select the PowerForms folder on the left to display all of your PowerForms.
  3. Locate the PowerForm you want to edit by searching, filtering, or simply scanning the list.
  4. Click the actions menu next to the PowerForm you want to modify and select Change Sender. The Change PowerForm Sender dialog opens, listing all users on your account who have PowerForm permissions. The current sender is selected.
  5. In the Change PowerForm Sender dialog, locate and select the new sender. Then click DONE.
