Since BFSv9, department users with the GL Chartfield access role (requested via SARA) have been able to create their own Management Project Codes.
Previously, Management Project Codes were created centrally by the Campus Budget Office so that departments could track items such as classroom improvements, faculty start-up, faculty retention, faculty recruitment, and stem cell activities. Management Project Codes will still be used for the same purposes as before, but departmental users no longer need to submit a request to the Budget Office in order to have the code established and can instead create applicable codes themselves.
Management Project Code Setup Notes & Structures in BFS:
In order to ensure consistency in reporting, department users must use the existing coding structure for new management project codes.
Project Management Coding Structure:
- The first two characters identify the management project category.
- The second two characters indicate the department prefix
- First two letters of the Level 4 node code on the Org Tree).
- The department assigns the fifth and sixth characters.
Management Project Categories and Category Prefixes:
- Classroom Improvements = 3CXXxx
- Faculty Start-up (non-stem cell related) = 3SXXxx
- Faculty Retention (non-stem cell related) = 3TXXxx
- Faculty Recruitment = 3UXXxx
- Stem Cell Activities
- REGISTRY (federally-approved) Human Embryonic Stem Cell Lines
- Registry Stem Cell Activities = 4AXXxx
- Faculty Start-up – Registry Stem Cell = 4SXXxx
- Faculty Retention – Registry Stem Cell = 4TXXxx
- NON-REGISTRY (non-federally approved) Human Embryonic Stem Cell Lines
- Non-Registry Stem Cell Activities = 5AXXxx
- Faculty Start-up – Non-Registry Stem Cell = 5SXXxx
- Faculty Retention – Non-Registry Stem Cell = 5TXXxx
Inputting Management Project Codes into BFS:
The set-up for Management Project Codes is in the same menu path as for departmental project codes.
- Effective Date: Should be equal to the 1st day of the current calendar month.
- Short Description: Should be a repeat of the project code.
- Start Date/End Date: The start date/end date of the project. This can be any date past or future.
- Manager/PI: Should be entered Last Name, First Name
