What is a Grace Period?

A knowledge base article about What is a Grace Period? provided by the UC Berkeley IT Service Hub - Knowledge Portal

Overview

When a person no longer has any active connections with UC Berkeley, their CalNet ID expires. However, users can still access limited campus resources for a period after their affiliation ends; this is known as the grace period. Once this grace period ends, a person without active affiliations can no longer log into their CalNet account. Once your grace period expires, we cannot retroactively turn it on, so take the appropriate steps below to prepare.

If you receive a notice that your account is in grace and you think it's a mistake, contact the appropriate department to verify and update your affiliation status:

Note: If your end date is entered retroactively, you may not receive a grace period. Accounts are expired based on the end date entered into the campus system, not the day the end date was entered. Terminations entered retroactively may result in immediate CalNet account termination. CalNet cannot undo or change this process; it is up to your department to update records timely.

Access to Campus Systems While in Grace

When a person's CalNet account expires, they lose access to most campus services. Some services, like VPN, are not available during the grace period. However, other services remain accessible to help users transition away from campus. For example, employees can access their UC Berkeley email, and students can check their final grades or save documents to campus file storage.

The grace period starts the day all of your campus affiliations end, according to data from the Human Resources (HCM), Alumni, and Student (SIS) systems.

During the grace period, the following services remain available:

bMail Account Eligibility

Your UC Berkeley bConnected Google account will be disabled after your grace period ends. To keep your data, you must take action before this date. CalNet 2-Step is required for all active CalNet accounts. Find out more about 2-Step.

Can You Keep Your Account?

Everyone Else Leaving the University: You will lose access once your grace period expires, unless your official campus status is updated before. Visit the Leaving UC Berkeley page for information on managing bConnected Google accounts.

bCourses and Kaltura Access

Your access to bCourses and Kaltura will be disabled after your grace period ends. To keep your course and media content, you must take action before this date. Note that student access to individual course sites is managed by course instructors. bCourses and Kaltura content are subject to course retention and media retention policies. Please see our article "What should I do with my bCourses and Kaltura Content before I lose CalNet Access?" for details.

Email Notifications

The grace period is based on the end date in our campus systems of record. The first email is sent as soon as you enter grace. Subsequent emails are sent at these intervals:

Grace Period by Affiliation

End dates and grace periods for Employees and Affiliates are determined by the dates set in UCPath.

Affiliation Grace Period
Employees (including staff, faculty, emeriti, and volunteers) 90 days
Students (undergrad and grad) 274 days
Post docs 274 days

Information for Technologists

Campus application developers who prefer not to offer services to people in the grace period can interrogate the Campus Directory public attribute berkeleyEduExpDate to determine whether a record is in the grace period. If it is, it will have a value in the berkeleyEduExpDate attribute that is in the future.

Any values in berkeleyEduAffiliations should show as "FORMER-*", e.g., FORMER-EMPLOYEE, FORMER-AFFILIATE, or FORMER-STUDENT. These values indicate what affiliations the person had before they entered the grace period.

The value in berkeleyEduExpDate is the date of the end of the grace period. At that point, the CalNet ID will either be expired and moved into the Expired People OU or, if it has alumni affiliations, moved into the ADVCON People OU with access only given to alumni applications.
