Using the COA Validation Tool

• This is the COA/GL/Chart of Accounts/Account String validation tool
• You must be on VPN to use it

Our Chart of Accounts

 

Business Unit

• Length: 1
• Probably 1

 

Account

• Length: 5
• We do not ask for an account.
• The recharge system selects the correct account based on the service
• To test a GL in the validation tool use:
  • Everybody except Capital Projects: 59001 (Recharge)
  • Capital Projects: 19710 (Construction)

Fund

• Length: 5
• Sometimes flipped with Department

 

Dept ID

• Length: 5
• Customer sometimes knows this one!
• Sometimes flipped with Fund

 

Program

• Length: 2
• Sometimes called Function
• Not used for Capital Projects

Chartfield 1

• Length: 6
• Sometimes Called CF1
• CF1 and CF2 get flipped but length gives them away

Chartfield 2

• Length: 5
• Sometimes Called CF2
• CF1 and CF2 get flipped but length gives them away

If only using chartfield 2

• Telecom Catalog: use 6 zeros for ChartField 1
  • Example: 1-56130-13352-14185-44-000000-CSSKE
• COA Validation Tool: leave Chartfield 1 blank
  • Example: 1-56130-13352-14185-44--CSSKE

 

If the COA is valid but not working in the Telecom Catalog, contact istbill@berkeley.edu

• The GL must have already had a transaction in the Telecom Catalog.
• If it hasn’t, the IST Billing team needs to do something
