Approving an Ordered Item

On your left navigation pane, are two approval options highlighted, below, in yellow.

·         *My Approvals

·        *  My Dept's Approvals

My Approvals lists items awaiting your action and already approved/rejected items.

 

My Dept's Approvals lists all requested, rejected, and approved items for your entire department. 


Using the "My Approvals" Option

To approve a requested item using the My Approvals option, you need to have the Requested Item (RITM) number. In this example, we use the item number, RITM0011904.

1. 1. Click My Approvals in your left navigation pane.

 

2. 2. Check that the Go To box has the column title of Approval for so you can go to the item (RITM) that you need to approve. 


1. 3. If the Go to field name is something other than "Approval for" change this by clicking the dropdown box and selecting Approval for.

Or

 

Click on the column name "Approval for" in the blue title bar as shown by the arrow below. This changes the "Go to" box to "Approval for."


NOTE: Change the "Go to" box to search in the same way for State (Requested, Rejected, or Approved), Approver (name) or Created (date).

1. 4. Enter your item number (in this case, RITM0011904) in the Go to entry field.

2. 5. Click the magnifying glass.

3. 6. This requested item will be at the top of the list. Click on this Requested hyperlink under the State column.

7. The Approval page displays. Here you can click the Approve, Reject or Modify button in the top right. If you click Modify, a comment is required.

Using the "My Dept's Approvals" Option

My Dept's Approvals allows you to approve a request for other department members. For example, if someone is out of the office, you may approve a request for them. To do so, go to My Dept's Approvals in the left navigation pane as shown in the screen shot on page 1 and follow the same instructions for the My Approvals option.

My Dept's Approvals also provides a historical view of all requests for your department.  Access information in either My Approvals or My Dept's Approval view as follows:

· Use the Go To search option as explained in Step 3.

 

· Sort the records from lowest to highest (a to z) order by clicking the column name. For example, clicking on the State column lists Approved orders first followed by Rejected then Requested. Click the column name again to sort in the opposite order, i.e., highest to lowest (z to a). Dates, such as Created, sort numerically.

 NOTE: All columns in the Telecom Catalog system can be sorted using this approach.
