Confidentiality of Reports

All departmentally specified supervisors will have access to all department-sponsored evaluation reports including Instructor reports, Department Summary reports, and Department Raw Data reports. However, department supervisors do not receive access to instructor-created custom questions.

Instructors receive access only to their own instructor reports, and do not receive any results from their colleagues, even in co-taught classes. Thus, if an instructor chooses to add custom questions to an evaluation, this feedback will only be made accessible to the instructor who added them.

The Course Evaluations service does not share or release data to any other groups or individuals without specific departmental consent.

 

What does the report contain?

Once evaluation forms are completed at the end of the evaluation cycle, reports containing statistical analysis of the results are generated. The reports generally contain significant values such as the statistical mean, median, etcetera.

There are three main types of reports that the OEC generates: Instructor reports (in two variations), Department Summary reports, and Department Raw Data reports.

Instructor reports vary with regards to their application. The first variation, the Academic Personnel Version, is made accessible to academic personnel analysts and other departmental administrators but not instructors through the evaluation system. This version is often uploaded directly to APBears and used as evidence of teaching effectiveness in review cases. The second variation, the Instructor Version, is utilized for individual instructor development and made available only to instructors. Both instructor report types are generated and accessible through Blue, and report viewers will be notified of their availability through email. In terms of content, the two reports differ somewhat. The first variation contains data on responses to department-wide and campus-wide questions, while the second variation (made accessible only to the instructor) contains responses to instructor-personalized questions. Department Summary reports are also generated and accessible through the evaluation system, notifying supervisors through email when made available. The Department Summary report provides comparative data specifically intended for handling academic personnel review cases (often reflected on APBears) as it contains only data on university-wide items. These reports are only made available to departmentally designated administrators. It can be downloaded as a spreadsheet from the evaluation system. Department Raw Data reports are made available through Google Drive and only to departmentally designated administrators . Raw Data reports contain raw response information for each student responder to an evaluation of your department’s course.
