Perceptive Content Redaction Process instructions

Background
Although it is always strongly advised to redact documents prior to capturing them, sometimes, documents with sensitive data are captured and this requires that the post-capturing redaction process is applied.
 
These instructions assume that:
a) User has access to the Perceptive Content system
b) User knows how to log into the Perceptive Content system
c) User knows how to find the document to be redacted
 
 
I. Redaction Process. Masking the sensitive data
  1. Open the document. Open the page with the piece of sensitive data
  2. Click on the Redact toolbar menu icon
  3. With the Redaction icon on highlight the data to be redacted

II. Generating the Redacted Document Process. Creating the newly redacted document

  1. Go to File/Generate Redacted Document
  2. On the Generate Redacted Document dialog box, make sure:

                    a) To type an identifier in one of the index values, i.e. "REDACTED" for easy identification 

                    b) That the appropriate workflow queue is selected and that the Send to Workflow queue checkbox is checked 

                3. On the Page Options section check any of the following radio buttons as appropriate

                     a) Current Page - only the page that contains the Redact annotation will be copied into a new one

                     b) All Open Pages - copies all open pages including the one with the Redact annotation

                     c) All Pages - copies all pages including the one with the Redact annotation

                     d) Page Range - copies only the pages included in the page range

                 4. Click OK 

                 5. Close the document

III. Deleting the original document with the sensitive data

Once the redacted document has been generated, you will have to delete the actual page or item with the sensitive data, so that only the redacted version is kept in the system. To delete the original document there are two options as follows. Please note that choosing an option will vary based on the decisions made and actions taken on section II above:

      Keeping the original created date 

  1. Open the newly created item
  2. Copy the redacted page. Close the item
  3. Open the original item
  4. Delete the page with the sensitive data
  5. Paste the newly redacted page to this item
  6. Delete the redacted item

      Keeping the newly created date

  1. Open the original item
  2. Delete the page with the sensitive data
  3. Copy the rest of the pages (if this action was not taken in section II above). Close and delete this item
  4. Open the newly created item. Paste the pages from step c above
  5. Close the item

Note that if you generate a redacted item that includes all the pages and then you go back and delete the whole item so as to keep only the newly redacted document, the document history from the original item will also be deleted.
