I received an email that says "Box Administrator wants to work with you on..."

A knowledge base article about I received an email that says "Box Administrator wants to work with you on..." provided by the UC Berkeley IT Service Hub - Knowledge Portal

On Thursday April 21, as part of the new Box lifecycle strategy and Service Level Agreement, the bConnected Team deployed a new tool for UC Berkeley’s Box customers called Collaborator Reports. These reports:

Because the lifecycle strategy is new, no content will be disabled until September 15, 2022 at the earliest, and no content will be deleted until March 15, 2023 at the earliest.

The reports will be shared directly with your Box account, and you will receive an email when your report has been shared with you. They will be regenerated monthly for your convenience, and you will be notified each time a new report is created.

If you are concerned about the validity of this email there is no need to click on any links. Simply log into berkeley.box.com and in your list of files, look for a file titled in this format: "YourCalNetID@berkeley.edu's access to shared items in box with expired owners [date].docx". If you open the file you'll find a list of all the content to which you will lose access when the expired account is deleted.

In order to save the contents, you should make a copy of the contents that belonged to the expired person in your own account so that when the expired account is disabled you'll retain your own copy. You can use the three dots menu (More options) to the right of each item to move or copy Box content. More information about moving and copying Box content can be found here - https://support.box.com/hc/en-us/articles/360044196593-Moving-and-Copying-Files-Folders#:~:text=Right%2Dclick%20the%20file%20or,see%20to%20access%20its%20subfolders.

Please note that when you try to make a copy of an entire folder shared with you, you need to copy the contents inside the folder, rather than copying the top level folder. This is an unfortunate limitation of Box.

If you would like to request the ownership of the contents be transferred to another account, you must have at least editor privileges on the content to be transferred. Please submit a new ticket and include following information:

Once submitted, if you have the correct access, a Box administrator will transfer the files as requested.
