Time Reporting System (TRS)

A service overview and catalog of Time Reporting System (TRS) provided by the UC Berkeley IT Service Hub.

Description

TRS is a timekeeping system built upon labor and policy standards which enable campus employees to track their time worked, leave taken, and approve their timecard at the end of each pay period. Additionally supervisors review and approve the time certifying the information recorded is accurate and complete.

Getting Started

This system goes live in October of 2026.

Eligible employees that have an active appointment in the UCPath HR system with an employee ID are required to report hours worked and or leave taken are automatically imported and granted access to the timekeeping system once

Eligible employees are all employees excluding the following:

Once an employee has been provided their employee ID from HR, they should be able to login to the timekeeping system (TRS). 
No action is needed to terminate employee or supervisor access. Updates to the employees employment status and assigned supervisor in the UCPath HR system will automatically import overnight to TRS and update the system accordingly.
BRS department time administrator access changes are initiated when the BRS unit submits a request via a service now request and those requests are reviewed by the administrator and will be provisioned accordingly.

Eligibility

Employees in leave accruing jobs such as academic job titles, staff, students, UC Irvine Vendor Support, BRS support teams, IST, and Controllers office system support team.

Out of scope:

  • By agreement appointments
  • Faculty and Instructors appointed on an academic year basis (majority of titles in A1)
  • CalKronos timekeeping system end users out of scope are below
    • SX-Service Unit
    • EX-Patient Care Technical Unit
    • KB-Skilled Crafts Unit
    • PA-Police Unit & SA-Sergeant Unit
    • ll Bi-weekly paid Staff in FUPOL Department (excluding students)
    • Additional Titles in the UKHDS Department

Availability

Available 24/7. Support is provided Monday–Friday, 8:00 AM – 5:00 PM PT, excluding University holidays and curtailment periods.

Cost

Costs for the timekeeping system are centrally supported however if a department requests an additional or new timeclock at a location the department must pay the cost of the timeclock, installation and networking fees. A quote is provided at the time the request is submitted.
