HCM Archive

A service overview and catalog of HCM Archive provided by the UC Berkeley IT Service Hub.

Description

The HCM (Human Capital Management) Archive provides access to historical UC Berkeley employee workforce data from the retired PeopleSoft HCM system. Records were migrated to UCPath for employees active at conversion or terminated during 2019, with other legacy records remaining available in the HCM Archive. Users can retrieve data through the Cal Answers reporting tool, and backend Oracle database queries are supported when reporting access is insufficient. This service supports audits, historical research, and HR data verification needs.

Getting Started

The HCM Archive is an internal service available to authorized staff only.

Faculty and staff needing historical employee workforce data should first check whether the information is available in UCPath. If the record is not found there, search for it using the campus reporting tool (Cal Answers) and follow the Legacy HCM Employee History job aid for guidance.
If the required data is not available through reporting, submit a request to the UCPATH Operation Team ucbucpath@berkeley.edu team (via the service portal/ticketing system) with employee details, data needed, and business purpose. Access to backend Oracle database queries is limited to authorized staff and fulfilled only for approved business needs.
For updates or changes to an existing request, reply to your open ticket or update it in the service portal so the team can track and process the revision.

Service Details

Eligibility	Access to this service is limited to the UCPATH Operations Team and UCPATH Technical Team.
Contact	Send an email to UCPATH Operations team (ucbucpath@berkeley.edu), and they will closely work with the UCPath Technical Team for any technical queries.
Availability	Support is provided Monday–Friday, 8:00 AM – 5:00 PM PT, excluding University holidays and curtailment periods.
Cost	There are no direct costs associated with this service.
Data Classification	This service is rated for: Protection Level: P4 Availability Level: A1 Recovery Level: R1 Compliance: Users are responsible for ensuring data handled within this service complies with the Data and IT Resource Classification Standards.
